MicrosoftDynamics365BusinessCentralnowhasafeaturetobeabletocopytransactionsandalsoreversethesign.Thiswillmakeitaloteasiertocreatethoseaccrualentriesthatyouneedtoreverseinthenextmonth.Youwillhavetheoptionofindicatingwhichbatchesyouwanttoincludeinthecopyprocess. YouwillstartwiththeGeneralJournaltemplate.SimplyusetheTellMe(search),enterGeneralJournalTemplatesandselecttherelatedlinktolocatethelistofJournaltemplates.Youwillnoticethatthereareanumberoftemplates.Eachoneisadedicatedpagefortheparticularfunctionthatitrepresents.Itincludesfieldsthatarerequiredtosupportthefunctionsofthespecificjournal.Youwillwanttoconcentrateonthetemplatethathasatypeequalto“General”.Inparticulartheonethatyouuseforthegeneraljournals.Onthefar-rightside,youwillhaveacheckboxfor“CopytoPostedJnl.Lines”.Youwillwanttoindicatethatyouwanttousethisfeature.Whenyouselectthebox,youwillreceiveamessageaskingyouifyouwanttoenablecopyingofjournallinestopostedgeneraljournal.Youwouldselect“Yes”ifyouwanttobeabletousethisfeature.BelowisanexampleofwhatyouwouldseeontheGeneralJournalTemplatespage. OnceyouhaveindicatedthattheGeneralJournalTemplateallowsyouto“CopytoPostedJnl.Lines”,youcanthenbeginlookingatyourGeneralJournalBatches.IfyouareusingaRoleCenterthatcontainsnavigationareasforFinanceorJournals,youwillbeabletoselectGeneralJournalsanddisplaythebatches.IfyouusetheTellMe(search)toselecttheGeneralJournals,youwillneedtousetheellipsisbutton(…)ontheBatchNamefieldtodisplayalltheGeneralJournalBatches.Nomatterhowyougettothem,youwillnowseethatthereisa“CopytoPostedJnl.Lines”checkboxtothefarrightofthelist.ThiswillautomaticallybecheckedforallbatchesintheGeneralJournalbatchlist.Youwillwanttouncheckthisboxforanybatchthatyouwouldpotentiallynotwanttocopy.It’sgreattobeabletoindicatewhichentries/batcheswouldbeallowedtobecopied.Thisisespeciallytrueifyouhaveamatchdesignatedforyouraccruals.YouwillneedtousetheEditListactiontobeabletouncheckthebox. Nowwhenyouposttheentriesinthebatch,inadditiontowritingtotheGeneralLedgerEntriesList(20)pageandtable(17),theywillbewrittentothePostedGeneralJournalworksheet(182)andtable(181). Thecopyandreversingprocessisnowquiteeasy.SimplyusetheTellMe(search)tolocatedPostedGeneralJournalandselecttherelatedlink.Youcanalsobookmarkthispage,soyouwon’thavetosearchforitgoingforward.ItwillbeonyourRoleCenterforeasyaccess. OnceonthePostedGeneralJournalpage,youwillnotethattheentriesthatyouhavepostedsinceenablingthisfeaturearenowlisted.YoucanusetheTemplateNameandBatchNametonarrowdownthelist. Youwillnotethatyouhavetwoactionstochoosefromonthispage.CopySelectedLinestoJournalorCopyG/LRegistertoJournal. So,what’sthedifference?Well,theCopySelectedLinestoJournalwillcopyonlythelinesthatyouselect.TheCopyG/LRegistertoJournalwillcopyalllinesthatbelongtothesameG/Lregister. Witheitheraction,youwillbeabletocreateacopyofthegeneraljournallineorbatchandspecifythejournaltouseforcopyingthelines,whetheryouwanttousetheoppositesigns(reversingthejournal),thepostingdate,andthedocumentnumber.Youhavecompletecontroloverwhatiscopiedandhowthenewentrywilllook.Whendoingareversal,youmightevenuseadocumentnumbersimilartotheoriginalbutusingRorREVinthedocumentnumbertoindicatethereversal.Inthismanner,youcanusethedocumentnumberinyourfilteringoftheGeneralLedgerEntries. Theprocesscopiestheentriesintothespecifiedjournalbatchwhereyoucanthenreviewit,editit,andpostitlikeanyentrythatyoudidmanually.Thiswillsaveyouatremendousamountoftimeifyouhavealotofaccruals.Plus,itgivesyoutheabilitytocopyanyentry,makingprocessingofrecurringtypeentrieseasieraswell.
